Unifeeder A/S is looking for a proactive and reliable team member to work onsite at our Gdynia office. You will report to Michal Durzynski, Business Process Director.
Working in our Gdynia office at Unifeeder
As Administration Coordinator, you will provide comprehensive administrative support to ensure the efficient operation of our Gdynia office.
Key areas include reception duties, travel coordination, insurance administration, invoice handling, vendor coordination, and office maintenance. You will partner with teams across the organization and with local suppliers to embed organizational excellence into daily operations and decision-making.

This onsite position is based at our office in Gdynia. Candidates from the Tricity area are preferred. Proficiency in Polish and English (verbal and written) is essential.

Key responsibilities
- Coordinate daily with building reception and office park administrators
- Ensure compliance with Occupational Safety and Health (OSH) regulations at the office
- Provide professional reception services to guests and employees
- Manage office access cards for employees and visitors
- Coordinate vendors and service providers for maintenance and repairs
- Handle office procurement: orders, supplier negotiation, and cost optimization
- Handle travel expenses settlement, company cars (incl. handling agreements with lease companies, insurance etc.)
- Organize internal and external meetings and events, including catering and logistics
Who are you?
You have relevant qualifications in administration or a related field, with 2-3 years of experience in administration and reception.
Additionally, we expect you to have:
- Strong organizational, analytical, teamwork-oriented, and communication skills
- Familiarity with procurement processes and regulations
- Proficiency in Microsoft Office (Outlook, Excel, Word) is an advantage
- Experience with contract management or procurement software is highly desirable
- Fluency in both Polish and English (verbal and written)
