We are expanding our payroll team and are looking for a skilled Payroll Specialist for a newly created role responsible for payroll processes for our employees in Poland.

 

Working in the Payroll Team at Shipping Solutions EAM 

As a Payroll Specialist, you will ensure timely and accurate payroll processing while maintaining compliance with local labor laws and regulations. Working closely with the Payroll Manager and Senior Payroll Specialist, you will help ensure that payroll documentation is collected accurately and on time across the relevant countries, so employees are paid correctly and on schedule.

We process payroll for multiple countries, including Denmark, Poland, the Netherlands, Germany, Panama, Finland, and Cyprus, and may expand into additional locations over time.

Payroll is partially outsourced in some of the countries where we operate, so you will also collaborate with external payroll partners in those locations.

We offer a flexible working environment, including the possibility to work remotely up to 2 days per week. You will be part of a People and Payroll team where you can always discuss challenges and share ideas with colleagues. You will report to Helle Rosengaard, Payroll Manager.

This position is based at our headquarters in Aarhus, Denmark, which will relocate to our new facility, Irmahus, in Aarhus Ø in early 2027. We are seeking candidates who are already based in Denmark.

Proficiency in English and Polish is essential. Travel to our office in Gdynia, Poland, should be expected – approximately 3–4 days per month initially, until fully onboarded and trained, and thereafter as needed.

Key responsibilities 

    • Process payroll for employees in Poland and other assigned countries, ensuring accuracy and compliance with local laws
    • Maintain and update payroll records, including overtime, holiday and leave records, salary adjustments, benefits, and deductions
    • Awareness of key payroll deadlines, including holiday-related timelines, and keep colleagues informed
    • Handle reimbursements, including sick leave benefits, annual leave, and maternity-related payments, and respond to payroll-related employee inquiries
    • Submit mandatory reports to relevant authorities as required by law
    • Stay up to date on Polish payroll legislation to ensure ongoing compliance
    • Collaborate with People and Finance teams and work closely with external payroll providers where necessary to ensure seamless payroll operations

Who are you?

You are passionate about payroll and able to work independently. You have at least 5 years of experience in a similar role with responsibility for payroll in Poland, and possibly other countries as well.

Furthermore, we expect you to:

  • Have strong knowledge of salary and payroll systems
  • Have in-depth knowledge of Polish payroll regulations, including taxation and social insurance
  • Take ownership of your tasks and bring a proactive approach to your area of expertise
  • Have excellent attention to detail and maintain a high level of confidentiality
  • Be fluent in Polish and English, with the ability to communicate professionally with colleagues across countries. Danish is a strong advantage.
